Supplier/Vendor Selection Policy
Talentvis is a leading HR Solutions, Recruitment Company and Event Management Agency with offices growing across Asia Pacific. Talentvis acknowledges that Suppliers/Vendors contribute to Talentvis operations and business sustainability.
This Supplier/Vendor Selection Policy (“Policy”) aims Suppliers/Vendors to enable Talentvis to find the right Suppliers/Vendors, likewise to ensure that the Suppliers/Vendors selection and evaluation process for the procurement of goods and/or services is carried out effectively, efficiently, competitively, fairly, transparently, and in a manner that can be held accountable.
This Policy details Talentvis requirements and criteria of its Suppliers/Vendors.

Suppliers/Vendors is a party that provides goods and/or services in accordance with the Quotation received by Talentvis and/or Purchase Order issued by Talentvis. The selected/appointed/awarded Suppliers/ Vendors will be recorded to the Vendor List.

Suppliers/Vendors involved in Talentvis procurements of goods and/or services shall meet the following requirements and criteria:
Preferably is a legal entity and complete the legality aspect based on the field of business that is carried out in accordance with the provisions of the applicable laws and regulations.
Having expertise, experience, technical and non-technical capabilities, and any other skills appropriate to the field of business being conducted.
Having the requisite resources for the procurement of goods and/or services required by Talentvis. both in terms of quality and quantity.
Having capability to provide qualified goods and/or services in fulfilling orders as determined by Talentvis at competitive rate.
Having a proven track record and reputation for providing high-quality goods and/or services and timely service.
Other requirements and criteria determined by Talentvis in accordance with the type of procurement of goods and/or service

The Procedure of Supplier/Vendor Selection
All purchases of goods and/or services to meet the Talentvis needs should go through a selection process. This selection procedure may be carried out through open or closed qualification selection and/or direct appointment, as stipulated in the Talentvis Standard Operating Procedure (SOP).
Talentvis will conduct the following in connection with the selection:
To examine the Vendor List. If the required goods and/or services could be met by a Supplier/Vendor on the Vendor List, the Company may organize a direct appointment with the Supplier/Vendor who best meets its needs.
If the required goods and/or services couldn’t be fulfilled by the Suppliers/Vendors listed in the Vendor List, Talentvis will conduct an assessment of new prospective Suppliers/Vendors, as technically regulated in Talentvis Standard Operating Procedures (SOP).

Conflict of Interest
Suppliers/Vendors must always:
Completely and truthfully disclose, in writing, any actual, potential, or perceived conflicts of interest to their contact before entering into negotiations and/or starting a business relationship with Talentvis.
Promptly disclose in writing to Talentvis any conflicts of interest arising during their business and/or relationship with Talentvis.
Avoid any conflicts of interest, whether actual, potential, or perceived, that are not properly disclosed and mitigated.
Describes any circumstance that could cast doubt on a Suppliers /Vendor’s ability to act with total objectivity with regard to Talentvis interest.
Suppliers/Vendors must be free from any conflicts of interest.
Suppliers/Vendors must use good judgment, high ethical standards, and honesty in all business dealings.

Confidentiality, Privacy and Intellectual Property
Suppliers/Vendors must protect the intellectual property, trade secrets and confidential information (including personal data and personally identifiable information) of Talentvis and its clients. Suppliers/Vendors who have access to intellectual property, trade secrets and confidential information as part of the business relationship with Talentvis must protect such information and must not share it. If Suppliers/Vendors believe it has been given access to Talentvis and/or its client’s intellectual property, trade secrets and/or confidential information in error, the Suppliers/Vendors must immediately notify Talentvis and refrain from further distribution of the information.

The Relationship between Talentvis Employee (“Employee”) and Suppliers and/or Vendors
Employees must always apply the principles of equality, partnership, and fair business competition through the following actions:
To maintain and prioritize the interests of Talentvis.
To uphold integrity, independence, and objectivity in conducting transactions with Suppliers/Vendors.
To build honest and effective communication for continuous performance improvement.
To not allowed to accept gifts/rewards from potential Suppliers/Vendors that may influence the Supplier/Vendor selection decision and result in potential losses for Talentvis.
To provide accurate information to Suppliers/Vendors through transparency and clarity while maintaining information security.
To build and develop a work culture of mutual trust through performance evaluation efforts for continuous improvement, objectively assessing the Supplier/Vendor, and imposing sanctions if the Supplier/Vendor fails to meet the Talentvis provisions.
The selected/awarded/appointed supplier/Vendor has no conflict of interest with Talentvis and/or Talentvis employees.

Violations and Sanctions
In the event that the Supplier/Vendor does not provide services in accordance with the agreed agreement, Talentvis will impose sanction (including without limitation, compensation) on the Supplier/Vendor.

Miscellaneous
This Policy should be complied with by all Talentvis Employees, Suppliers/Vendors, and potential Suppliers/Vendors and shall be adjusted periodically to suit the business needs of Talentvis and the prevailing laws and regulations.
