Data Protection & Privacy Policy

Effective from: 1 September 2023

This policy applies to the group of companies that are owned and/or controlled by Talentvis Singapore Pte Ltd ("Talentvis Group").

References in this policy to "we", "us" or "our" are references to Talentvis Group.

The objective of this Data Protection and Privacy Policy ("Policy") is to inform you about how we collect, use, and disclose your personal information. It is critical that you read this policy in connection with any data, data protection, fair processing, and/or privacy warnings or statements that we may publish at the time of acquiring your personal data, as appropriate in the jurisdiction. Unless we notify you the otherwise in such policy, notice, or statement, they are not intended to overrule the policy.

We operate through a global network of associated businesses and may assign vendors where needed to guarantee we provide the finest solution to our clients in the areas where we provide services.

We provide the following services :

  1. Recruitment consultancy services place individuals on a permanent, contract, and interim basis. Recruitment consultancy services place candidates on a permanent, contract, and interim basis across a variety of sectors and regions ("Recruitment Services");
  2. Business process outsourcing services that assist companies with their permanent recruitment, temporary recruitment, supply chain, and labor supply and screening (commonly known as "RPO," payroll outsourcing," and any other related services that are referred to collectively as "Outsourced Services" for the purposes of this policy);
  3. Various consultancy, technology, and advisory services, including partnerships (collectively referred to as "Consultancy Services") basis across a variety of sectors and regions ("Consultancy Services");

Unless we notify you the otherwise, we act as a data controller when processing your personal data for our Recruitment Services and Consultancy Services. If we share your personal data with our clients as part of our Recruitment Services and Consultancy Services, it is probable that our clients will treat your personal data as a data controller. Our clients may seek extra personal information from you as part of their recruiting procedures.

Unless we notify you the otherwise, we are the data processor and our clients are the data controllers of your personal data processed by us for our Outsourced Services. Where we function as a data processor, our client's privacy policies will apply. If a company within the Talentvis Group hires you on a temporary assignment, unless we notify you the otherwise, the Talentvis Group company that hires you will be the data controller of your personal data.

  1. Collection of Personal Data
    1. We shall only gather any information pertaining to a recognized or identifiable individual ("Personal Data") that we are legally entitled to acquire on a jurisdictional basis. We have included a non-exhaustive list of the sorts of personal data that we most regularly gather below. Identity data : Your title, first name, last name, maiden name, date of birth, gender, photograph, national insurance number (or equivalent in your country), nationality, and other information relating to residency and citizenship that may be required to establish the right to work in a given country, marital status, and number of dependents.
    2. Contact data : Your delivery address, email address, and phone numbers, as well as emergency contact information and contact history.
    3. Historical data : Your educational and professional credentials, job history, criminal background history, social media, skills and qualifications, and the findings of any additional background and disclosure checks in countries where such checks are legal.
    4. Employment related data : Your current remuneration, pension, and benefits, what job role you are seeking for, what work-related fields interest you, third-party references (if obtained), and interview and assessment comments provided either by ourselves or by our client following an interview or assessment.
    5. Verification data : A copy of your driving licence, passport, identity card or another form of identification and as well as referee details.
    6. Financial data : Your bank sort code and account number, tax-related information.
    7. Diversity data : For governmental reporting reasons, we may collect diversity data, which may include racial or ethnic origin, religious or other similar views, and physical or mental health, including disability-related information.
    8. Technology data : Your IP address, MAC address, login data, browser type and version, time zone setting and location, browser plug-in types and versions, operating system and platform, mobile phone location data, and other technology used to access our website and services.
    9. Profile data : Your usernames for accessing our services, interests as they relate to the services we provide to you, and other preferences and insights or factors gleaned from our analysis and profiling of you.
    10. Usage data : How you use and navigate our websites, as well as what you browse. We may also have any CCTV footage from your visit to our premises.
    11. Marketing data : Your preferences for getting marketing from us and our third-party partners, as well as your communication preferences.
    12. Visa application data : Your contact and identity information, immigration history (including residency, immigration status, and travel history), character disclosures (including offenses, disclosures, and information relevant to meeting character requirements), health disclosures, and health criteria information.
    13. Video : If video surveillance is installed in or near our offices, we may photograph you if authorized by law. We may also record video of you if you attend an event organized by us and have given us your express permission to do so.

    Sensitive or special category personal data - During the recruitment process or when providing services, we may collect sensitive or special category personal data in some countries. Local privacy regulations may require us to seek your specific agreement to handle this sort of personal data. If your express consent is necessary, you will be given a consent form. If you have not received a consent form and feel we have your sensitive or special category personal data, please contact us.

    1. When you visit Talentvis websites, Talentvis may collect information that you provided to Talentvis when: registering or subscribing to Talentvis"s products and services or requesting further products and services from us on any of Talentvis websites;
    2. You can apply online for a job or work with Talentvis. You may need to provide (without limitation) data about your education, employment history, and accreditations. The submission of your application to Talentvis constitutes your express consent to Talentvis use, retention, and processing of your personal data to, among others, access your application and to allow Talentvis to carry out any reference checking and other related activities as may be required of Talentvis under any applicable law. Talentvis may also collect your personal data from publicly available information, records, and third parties.

    3. third-party suppliers, including other recruitment and employment agencies, job board providers and job aggregators, and our managed service providers who are part of our supply chain;
    4. other recruitment agencies;
    5. analytics providers, such as Google and various job sites;
    6. and communication platforms

    Where authorized by law, we may additionally obtain your personal data through publicly available sources, such as:

    1. your identity and historical data from social networking sites such as LinkedIn, Twitter, and Facebook; your identity and contact information from corporation and commercial registrations or electoral registers; and your identity from professional body qualification and membership lists.
    2. We offer you to sign up for or login to a Talentvis Group account using a LinkedIn, Facebook, or Google account ("Social Media Account"), allowing you to utilize our online services without having to create a separate account with us. If you want to utilize this service, we will use this policy to process your name and main email address on your Social Media Account.
  2. Use and Disclosure of Personal Data

    Talentvis shall hold, use, disclose and otherwise process your personal data for the purposes as disclosed to you at the time of collection of your personal data, or otherwise as set out in this Data Protection and Privacy Policy. Generally, unless authorized or required by law, Talentvis shall only hold, use, disclose and otherwise process your personal data for the following purposes:

    1. Visitors to our website

      1. We will collect and utilize your personal information to: enhance our customer service and make our operations more valuable to you (including personalizing our websites to your needs);
      2. inform you about our recruitment services in all areas of our business;
      3. send you messages if you have shown an interest in receiving such information or if you have purchased items or services from us, which may include the following:
      4. E-newsletters and printed newsletters; emails regarding our services and new product releases;
      5. Reminders when your items or services are about to expire; and
      6.     2. Candidates

      We will collect and use your personal data to:

      1. provide careers, recruiting, and/or associated intermediary services to or for you;
      2. link your information to job vacancies that we believe are suitable for you in order to assess your suitability for them;
      3. allow you to upload your CV, apply for jobs, or subscribe to our job notifications to be notified when relevant job opportunities exist;
      4. Apply for jobs on your behalf by providing your personal data to clients; expedite the recruiting process if a client desires to advance your application;
      5. fulfill our contractual obligations to our clients;
      6. inform you about any relevant industry developments, events, promotions, and competitions, as well as communicate any other relevant information;
      7. respond to your inquiries or questions;
      8. conduct statistical analysis;
      9. monitor diversity;
      10. comply with our regulatory commitments;
      11. pursue or defend a legal claim;
      12. conduct pre-employment screening;
      13. prevent or detect a crime, where the law requires us to do so; and
      14. provide you with further information on the job market and possibilities that may be of interest to you.
    3. Referees: We will only use your personal data to do a reference check on a candidate/ applicant.

    4. Applicants for Visas: We will collect and use your personal information to prepare and process your visa application and related immigration services.

  3. Sharing of Personal Data

    While your personal data shall be kept confidential, in certain circumstances, it may be necessary for Talentvis to provide or disclose your personal data if required for any of the foregoing purposes. Where Talentvis does so, we would merely disclose data that is necessary for the purpose of such disclosure.

    We may release your personal information to the following parties, according to local laws in the jurisdiction:

    1. any company in the Talentvis Group;
    2. prospective employers or engagers;
    3. other recruitment companies or intermediaries involved in managing the supply of personnel;
    4. data processors of the Talentvis Group;
    5. pre-employment screening and background checking organizations;
    6. your referees;
    7. your previous employers and relevant education institutions;
    8. your professional bodies;
    9. government and regulatory bodies, such as tax and social security authorities;
    10. and this policy.

    We do not let our third-party service providers to use your personal data for their own purposes, and we only allow them to treat your personal data for certain reasons and in line with our instructions, which include compliance with this policy.

  4. Privacy on Our Websites
    1. Submitting Your Curriculum Vitae ("CV") and Applying for Jobs

      You may submit your CV to Talentvis via this website, either for general consideration by our recruitment consultants for positions as they arise or to apply for a specific advertised job. Once submitted, your CV shall be sent directly to the relevant Talentvis recruitment consultant who shall review your details and advise you whether you shall be accepted by us for registration on our central database. This database, including your personal data, can be accessed by any of our recruitment consultants working in other offices of the Talentvis, both inside and outside Singapore. If you are accepted onto our database, our recruitment consultants shall then contact you to set up an interview in person. You can update your CV at any time, simply by following the same procedure as for submitting a new CV via our websites.

    2. Job Alerts

      You may sign up to receive emails that alert you to new jobs on Talentvis website (Job Alerts). To subscribe to Job Alerts, you need to provide your email address, which shall be used for the purpose of keeping you informed by email of the latest jobs and/or news in your nominated industry. If you no longer wish to receive Job Alerts, you may unsubscribe by using the unsubscribe links provided in every Job Alert email that you receive.

    3. Aggregate Information About Website Visitors

      Talentvis gathers information and statistics about all visitors to this website and all of Talentvis websites worldwide, including the most frequently accessed pages and most frequently used products and services. Talentvis shall only use such data in aggregate form (that is, the data does not identify any one individual). This data helps Talentvis determine the most beneficial parts of Talentvis websites and ways in which Talentvis can continually improve Talentvis online services to create a better overall experience for Talentvis users. Talentvis also publish some of this aggregate (non-identifiable) data on the Talentvis websites worldwide.

    4. Anonymised Data is data derived from your personal data in which your identity has been deleted and you cannot be linked to it.

      The age at which an individual is considered a kid varies by nation. We do not normally collect personal information on individuals under the age of 18.

  5. Data Transfer across International Borders

    Talentvis is a global company and we endeavour to provide you with the same products and services worldwide. Talentvis’s global network comprises offices, data centres, trusted service providers and trained consultants. The nature of Talentvis business, operations and services may require Talentvis to transfer your personal data (from time to time) to other related companies. Talentvis may transfer the data Talentvis collects about you to countries other than your home country or other than the country in which the data was originally collected, as follows:

    1. where you are registered as a candidate on Talentvis database, your personal data shall be accessible by our other offices and potential employers internationally, including in Singapore, Malaysia, Indonesia, Thailand, Vietnam, Taiwan; and
    2. to different companies or entities of the Talentvis worldwide to enable the development and marketing of other products and services, to improve Talentvis customer service and to make Talentvis products and services more valuable to you, including tailoring Talentvis website when you log on to make it relevant to you personally.

    Talentvis privacy policies and practices may vary among the countries in which we operate. However, Talentvis shall take appropriate steps to ensure that your information is protected and handled in accordance with the legal requirements applicable in each relevant country and as described in this Data Protection and Privacy Policy.

  6. Your Rights

    Your personal data rights are determined by the country you live in and the applicable privacy laws. These might include:

    1. Right to be informed about your personal data and details of its management and processing, including, if applicable, the precautions employed to protect your personal data if we transmit it beyond the area in which it was collected;

Where Talentvis are legally permitted to do so, Talentvis may refuse your request and give you the reasons for doing so. If you have created an account with via Talentvis website, you are able to view and update any information by logging into your account.

    If you desire to exercise any of your legal rights, please contact us using the information provided in Section 12 of this policy.

    Where permitted by law, you may also be charged a fee to access your personal data or to exercise any other rights that may apply. We will notify you if there is a cost for your request before we perform it.

  7. Retention

    We will only retain your personal data for as long as is required to fulfill the objectives for which it was obtained, including any legal, accounting, or reporting obligations. We see our connection with you as one in which we assist your career via a variety of positions and responsibilities. As a result, if we reasonably anticipate that we will continue to have an ongoing connection with you, we may preserve your data for a length of time that is considerably longer than just one placement.

    When your personal data is no longer necessary, we will properly and securely dispose of it. We shall consider the following aspects when determining the appropriate retention period for personal data:

    Talentvis takes reasonable steps to keep your personal data secure, accurate, complete, up to date and not misleading. We save your personal information in a combination of secure computer storage and paper-based files.

    We have put in place adequate safeguards to protect your personal data, including safeguards against unauthorized or illegal processing as well as accidental loss, deletion, or damage.

    We restrict access to your personal information to employees, agents, contractors, and other third parties with a legitimate business need to know. They must only process your personal data in accordance with our instructions and in accordance with the access limits described above. They also have an obligation of confidentiality.

    Talentvis cannot accept responsibility for the security of data you send to or receive from Talentvis over the Internet or for any unauthorized access or use of that data. Where Talentvis has links to websites outside the Talentvis, we cannot ensure that your privacy shall be protected in accordance with this Data Protection and Privacy Policy. You should consult these other websites privacy policies as Talentvis have no control over them and are not responsible for any data that is submitted to or collected by these third parties. Please also read the privacy policies of any social media platforms or third-party websites that lead you to a Talentvis Group website. We recommend that you read the privacy rules offered by these sites before providing them with your personal information.

  9. Technology

    We will always treat your personal data fairly. We may employ technical filters to go through job applications and match individuals to particular job opportunities on occasion. We will notify you if we employed technological techniques to evaluate your job application to a substantial level. Please let us know if you believe there are any additional criteria we should examine as part of your job application when we contact you.

  10. Use of Cookies

    Talentvis aims to acknowledge receipt of your complaint as soon as possible and commits to resolving all complaints no later than 30 days.
