A two-week notice resignation letter informs your employer regarding your intention to depart from the company. Such a notification allows them to look for a replacement, allowing the business to keep running smoothly after your leaving. Giving your employer plenty of notice will also keep you on good terms with them. Later on, you may need a reference letter from them, so make sure you leave with a good impression. 

Leaving without a notice will cause hassles for your direct supervisor, fellow coworkers, as well as HR manager who will need to take care of your remaining benefits and payroll in a rush. The HR department can utilize your notice letter to determine your official last day, arrange your final payment, and terminate any benefits you may be receiving after you leave. It also means you may verify to a new employer that your tenure at your previous employment has ended.

Schedule this meeting at a time that is convenient for your employer, prepare your two weeks' notice letter ahead of time, and be prepared to answer their questions about when you will be departing. If you are unable to speak to your direct supervisor, you can talk with an HR representative. Whoever you speak to, it is essential that you do not take too long when you have chosen to resign your job, you should notify your employer as soon as possible so that you can agree on an exit strategy.

 

What to Say and Not to Say

The thought of having to explain yourself to your employer on why you want to quit can be daunting. To overcome this, there are some things you can do. The first is to be sincere, but avoid going into explicit detail. For example, you are honest about wanting to pursue a more promising career that suits your goal. However, you do not need to explain how your current company is limiting you from growth, even if it really is. After all, the company did trust you to work there, despite the mismatch that emerged after a while. If you are asked about your next opportunity, it is entirely up to you whether or not you would like to share this information with your employer.

 

Anticipate Pushback

If you are an exceptionally good employee or if your company has the resources, the HR may have a counteroffer to make you stay. You should be prepared ahead of time with insights on what they may give to persuade you to stay, as well as if you want to participate in a counteroffer at all. If you decide to stay, be prepared for an unsatisfactory relationship in the future. You can politely refuse a counter-offer by saying something like, "Thank you very much for the offer. While I appreciate my experience at this company, the next opportunity will be the best fit for me in the long run.”

 

Simple Format for Two Weeks Notice

If you are unable to resign in person or talk to your supervisor by voice or video call, you may do so via email. In this situation, give your email a clear subject line, keep the content brief and polite, and send your two-week letter as an attachment. Consider the following recommendations as you compose your resignation letter:

  • Begin by providing your name, department/division, and current position.

  • Express your resignation. Don’t forget to include your last day's date.

  • Give an explanation for your resignation; this is optional, but if you do it, make it brief.

  • You can also add the responsibilities that need to be finished before your last day’s date and how you are going to finish them.

  • Include a statement of gratitude.

  • End with your signature.

 

While each resignation letter is personal, it is ideal to conclude on a positive note with appreciation or anything special you appreciate about your time with the company in order to leave a positive perspective.
