Resignation Letter Template

There may be a time in your career where you have to leave your job and write a letter prior to that. If you know you are leaving a job, the first thing you should do is informally talk to your employer and HR manager, so they are not caught off guard. After that, you are ready to draft a proper resignation letter. Still don’t know where to start? Here is a resignation letter template you can use.

While not required by law, giving your employer a resignation letter assists the company to ensure a seamless handover. The employer will have enough time to recruit a suitable successor or train a coworker to handle your job depending on when you submit your letter. A resignation letter is also an official document for Human Resources and your employee file. Even if you provide verbal confirmation of your desire to leave, many employers want a written and signed paperwork in order to complete your departure benefit. Here is a template you can use:

[insert date]

Mr./Ms. [insert your manager’s name]

[insert his/her position] in [insert the name of your company]

Dear Mr./Ms. [insert your manager’s name],

I would like to inform you that as of [insert the date when you send the letter], I'm resigning from my job as [insert position name] in [insert the name of your company]. My last day would be on [insert your last day at the company, usually two weeks to a month from the date you send the letter].

Thank you very much for all of your help and opportunities throughout the years. I've had a great time working at [insert the name of your company] and appreciate your support in helping me achieve my personal and professional aspirations.

I will do everything I can to complete the duties given I'm working on now and teach other team members to take over my responsibility. If there is anything else I can do to assist you during this time of change, please let me know.

I wish the business great success in the future and look forward to keeping in contact.

Sincerely Yours,

[Your Name]

Your letter should be concise and to the point; you do not need to go into detail about why you are resigning. If you have quite a good connection with your employer, express your gratitude by discussing how your time at the company has helped you. Before submitting your resignation letter, double-check your employment contract. This will guarantee that you cover all bases and provide your employer with proper notice. If you want, you can always create your own kind of resignation letter. Here are few tips to remember:

Stay Professional

If your reason to resign is because your employer has been treating you badly, you may be tempted to lash out your anger in your resignation letter. Don’t do that; stay professional. Your resignation letter should always be written professionally, regardless of how you feel about your company. Thanking them for the opportunity they have provided you with is an excellent method to maintain your honesty and this avoids burning any bridges. If you have some personal issues to let out, you can say it during the exit interview, offboarding, or your last one-on-one session.

Keep it Structured and Well-formatted

Even though the meaning or the content of your resignation letter is what matters the most, you should not overlook the importance of a well-formatted letter. Therefore, you need to keep it structured by typing and adhering to regular letter formatting rules. It should include clear paragraphs, be addressed to the relevant person, and accurately describe the date.

It hurts no one to leave on a good term professionally. Your resignation letter will say a lot about you, both professionally and personally, so do not underestimate the importance of a well-written resignation letter. Good luck!
